Who we are

BotDock ("BotDock", "we", "our") operates the AI chat widget and dashboard available at botdock.io. This policy explains what personal data we collect, how we use it, and the rights you have over that data.

Data we collect

When you create a workspace we collect your name, email, and the company profile you submit at signup (company name, country, industry, optional VAT number). When you use the dashboard we collect operational data such as bot configurations, uploaded knowledge documents, conversation transcripts, and audit log entries. Visitors who interact with a customer-deployed BotDock widget may have their messages, IP address, and approximate location recorded for the duration of the conversation.

Why we collect it

We process personal data to provide the service, secure accounts, bill customers, send transactional email, and improve product quality. Where required by law (EU/UK/EEA visitors), we rely on explicit consent for analytics and marketing cookies via the cookie banner, and on contract or legitimate interest for the rest.

Cookies and tracking

We use essential cookies for authentication, and consent-gated cookies for analytics (Google Analytics 4), tag management (Google Tag Manager), heatmaps (Microsoft Clarity), and bot protection (Cloudflare Turnstile). You can review and change your choice at any time via the Cookie settings link in the footer.

Sharing your data

We share data with the sub-processors listed on our Trust page. We do not sell personal data, and we do not share it with third parties for advertising purposes.

Your rights

You can access, correct, export, or delete your personal data at any time from the dashboard, or by emailing [email protected]. We respond within 30 days. If you are in the EU/UK and believe we are mishandling your data, you may also lodge a complaint with your local data protection authority.

International transfers

BotDock is hosted in AWS us-east-1 by default. For customers requiring EU data residency we offer EU region deployments under our enterprise plan. Where data crosses borders, we rely on Standard Contractual Clauses included in our Data Processing Agreement.

Retention

Workspace data is retained for the lifetime of your account plus 30 days. Conversation transcripts can be purged earlier on request. Audit logs are retained for at least 90 days. Backups are kept for 30 days.
